The gap between "yes" and onboarding is where clients get lost
For many agencies, winning the client is not the weak point. The weak point is the stretch after the signature. Forms live in one tool, contracts in another, logins arrive by email, and follow-up depends on someone remembering. One structured flow with clear stages and reminders closes that gap without adding headcount.
Check whether it will work before you automate it
The most expensive automation is the one built on a process that was never sound. Before I build anything, I ask what problem it solves, who touches it, and what happens when something unusual comes through. If the answer is unclear, automating it only makes the confusion faster. Write the process down first, then automate it.
If every new client needs you, you are the bottleneck
Onboarding is one of the first places a founder gets stuck in the middle. List what you touched in the first week of your last three clients. Anything you did the same way each time is a task a clear process can own. That list is the start of an onboarding system.
